Enhance the pre-existing visitor qualification system and facilitate the sales process for exhibitors.
OK Corral is an amusement park that organizes a fair dedicated to works councils every year, welcoming 70 exhibitors and 900 visitors. This event works only on invitations sent by exhibitors to visitors, which gives visitors an exclusive and qualified. The issue is to strengthen the pre-existing visitor qualification system, and to facilitate the commercial process for exhibitors.

We were able to qualify the profiles of our visitors thanks to a suitable registration form. This facilitated the commercial process for the exhibitors who participated in our CSE day towards visitors.

Employed to ensure the smooth running of the event
The qualification of visitors was carried out when sending the registration form to visitors, and when filling in their data in the form.
Sending the registration form
The forms were sent exclusively by the exhibitors to their client-guests (not publicly accessible) in order to guarantee that each visitor present at the show is a potential buyer. To do this, we have provided exhibitors with a clickable URL link to the registration form, so that they can distribute it to their customers at their convenience (by email, integrated into the customer areas of their websites, others.)
Filling out the registration form
A reflection on the questions asked in the form was carried out in advance by the organizer, then in collaboration with him as the questions were filled in by the visitors using the following analysis criteria:
Fill rate/drop-out rate for each question
If the fill rate for a question was less than 85%, we optimized it via one or more of the following approaches:
● Change the order of the question in the questionnaire
● Edit question
● Make the question optional
The collection of visitor data by exhibitors was done via the provision of a mobile application (Android/iOS) downloadable to their own phones or tablets, allowing visitor badges to be scanned.
Customization of the Exhibitors App
As visitor data was already qualified using the registration form, exhibitors did not need to re-qualify visitors when scanning their badges. Their need was more about being able to quickly write free comments about each visitor they encountered. To do this, we made the free comments functionality accessible in one click in the mobile application, which helped to optimize commercial exchanges and increase the volume of contacts.
The data collected by exhibitors by scanning visitor badges is transmitted in real time to an interface dedicated to the sales manager.
Live tracking of business results
To support the collection of visitor data by sales exhibitors, sales managers were able to monitor the progress of their teams via a dedicated interface. By collecting visitor data in real time, sales managers had a detailed view of:
● Number of scans / commercial-exhibitor hour by hour
● Data and comments for each visitor scanned
Downloading the data file
The interface dedicated to sales managers includes the possibility of downloading at any time an Excel file including all the qualitative and quantitative information relating to visitors whose badges have been scanned.

Satisfaction survey
A satisfaction survey relating to the Exhibitor App was sent to the 75 exhibitors. 23 exhibitors or 30% of exhibitors noted their level of satisfaction on:

Recovery of the Excel contact file: 9.44/10
Note for improvement taken into account: create a direct referral of visitor data to the ERPs of the exhibiting companies to facilitate the use of commercial data.
