This event welcomes participants speaking different languages (FR, EN, PT). The first issue is to offer visitors secure, multi-language recording, online and on site on the day of the event. The organizer having chosen the Swapcard community platform to connect participants, the second issue is to connect our technology to this platform in order to send event data to Swapcard.

The General Data Protection Regulation concerns both digital and physical data. In this context, it is obligatory to secure access and visibility of the data of visitors participating in the event. This approach avoids the risk of identity theft.
Secure access and visibility of visitor data
Visitor registration was mainly done online before the event. Following their registration, visitors received a unique digit code by email. This code allowed them to find and print their badges at the event welcome using self-service kiosks.
The badge recovery system via a unique code avoids the risk of mistaken identity and prevents visitors from accessing the list of participants. This system complies with the GDPR, which authorizes access to the information of others when visitors accepts that their data is visible, in this case by putting their badge around their neck.
The event took place in Luxembourg which has several official languages and welcomed visitors from several countries. Welcoming visitors had to be facilitated by a multi-lingual approach.
Set up a multi-lingual welcome.
The visitor registration process was accessible in French, English and Portuguese. This process included:
● The online and on-site registration form.
● The email containing a unique code sent to visitors.
● The unique code entry screens on the self-service kiosks at the event welcome, allowing visitors to print badges.
The organizer has been using the Swapcard tool for several years to facilitate connections between event participants. This connection is possible thanks to the collection of visitor data.
Send data entered by visitors during registration to Swapcard
To register, visitors enter their information which is automatically sent to Swapcard via a connector using the following technical process:
1. The registration form is filled by the visitor;
2. Visitor data is recorded in the database;
3. A unique QR code for each visitor is then automatically generated;
4. Via the Swapcard API, the data and the QR code associated with each visitor aresent to the Swapcard account;
5. During the event, QR codes are printed on the badges. In this way, the Swapcard mobile application is able to recognize the scanned visitor.
